1. Our lawful basis for processing your personal information
Under UK GDPR, we must identify a lawful basis for handling your information. BTH uses:
Legitimate interests
To operate, secure, and improve our website; manage directories and service information; and respond to enquiries.

Where you actively provide information through a form or sign up for communications.
Contract
Where you enter into a membership or listing agreement with us as a therapist or organisation. Borders Therapy Hub does not process special category data (e.g., health information or clinical records). We are not a therapeutic service and do not hold session notes or confidential client disclosures.
2. Information we collect and how we use it
2.1 General enquiries
When you contact us through the website or email, we collect the information you choose to provide, such as:

We use this only to respond to your enquiry.
If you choose not to proceed, your information is deleted within 6 months unless you request earlier deletion.
We do not share enquiry information with therapists listed on the site.
2.2 Submitting a SAS (Subsidised Access Scheme) enquiry
If you submit an SAS enquiry form, we collect:

Your name

Contact information

“A few words about the kind of support you are looking for” (a short free-text description)
This information is used only to:

assess scheme eligibility

match you with an appropriate therapist
-
manage communication during the allocation process
We do not treat SAS information as clinical notes, and we do not share SAS enquiries with therapists until a match is confirmed.
2.3 Tracking SAS enquiries
To ensure enquiries are not lost during allocation, we retain:

your name, and
-
your initial enquiry details
until:
-
you have been matched with a therapist, and
-
the therapist confirms the initial contact or introductory session.
For internal scheduling, we assign a unique, non-identifiable code to each SAS case. This code may be used by therapists when reserving subsidised session slots in the booking diary. The code does not contain personal information and is used solely for administration. Once allocation is complete and the case is marked as closed, all personal data is deleted within 6 months, unless you request earlier deletion.
2.4 Therapist listings and membership
If you join Borders Therapy Hub as a therapist or organisation, we collect the information required to:

create and publish your listing

manage your membership

process payments (if applicable)

maintain accurate directory content
This may include professional details such as qualifications, specialisms, website links, availability, and contact information.
You retain responsibility as an independent practitioner for your own privacy policies and client data.
2.5 Website data and cookies
When you visit our website, we collect standard internet log information, such as:

pages viewed

time spent on pages

browser and device type

IP address (anonymised in analytics where possible)
This helps us understand usage patterns and improve the website.
We rely on legitimate interests for this processing.
Borders Therapy Hub uses Wix as its website platform.

We may share limited data with carefully selected third-party providers who support our operations (e.g., Wix for website hosting, payment processors for membership fees).

We do not share your personal information with therapists unless you have been matched through the SAS process.
We do not sell your data or share it with advertisers.
